Planning, Preparation and Accomplishment - from Event Readiness to Success.
In May 2014, Maritz Travel appointed First United responsible for all transportation, all social activities and approximately 75% of the accommodation in conjunction with an event, due to be held by one of the world's largest technology companies, scheduled for Spring 2015.
The professional activities for some 2.900 delegates took place at Copenhagen's Bella Center and accommodation for the delegates involved 17 hotels across the city.
First United's responsibilities ranged from the provision of accommodation for the majority of delegates through daily delegate transportation between city centre hotels and the Bella Center (involving 55 – 60 motor coaches and 30+ assistants daily) to private VIP dinners in Copenhagen and Malmö and the grand finale – an exclusive, client only evening in the Tivoli Gardens. Peripheral to the core activities there were a host of "backstage" details to be coordinated such as signage, provision of photographers, printed material, A/V and communication equipment.
The "ticker-tape" highlight was the private, off-season opening of Tivoli Gardens for the closing party. 2.400 "partygoers", an enormous, heated tent with buffets, 3 restaurants available for the guests, selected amusements operating exclusively as well as traditional Tivoli Gardens' entertainment proved to be the perfect finale to another successful Copenhagen event.
Fulfilment of the event was a considerable success. In practice, accomplishing this goal was a small miracle as the lead-time, the size and complexity of the programme taken in to account, was really quite short – especially with regard to sourcing 2.300 hotel rooms. First United achieved that goal and, with innovative and creative thinking, focus and dedication, the event moved from early preparation to an accomplished success – proof of event readiness in practice. Of course, executive management goes without saying.

The successful completion of this event has had very tangible results for First United, as we will be responsible for the management of the 2016 event for 3.100+ delegates.
